Columns

Quickest start: open the software's import template, copy its first row (the column names) and paste it below. Each column is matched to the right field where the name makes it obvious; check the rest.

VAT codes for this layout

Used by the "VAT code" field. Sage UK normally uses T1 standard, T5 reduced, T0 zero, T2 exempt and T9 outside VAT, but check your template.

Export the "Paid personally" and "Business cash" receipts separately, so each import can be paid in one batch payment from the director's loan or petty cash account.

For Sage or any other software, use Edit layouts… to match the columns of that product's own import template.

In Xero: Business › Bills to pay › Import. Choose "tax inclusive" for amounts. Compare the columns with Xero's own template the first time.

Clean up old receipt files

Clients keep their own originals, so uploads are only kept here while they're useful. This deletes the photo or PDF of receipts that were exported (or marked Not needed) longer ago than the period below. The figures you posted stay in the database, so duplicates are still spotted. Receipts waiting or in the batch are never touched.
